Copy the meeting link
Any invite link for Google Meet, Microsoft Teams, Zoom, Webex, or Lark works. Nexynt links work too - paste one like any other platform; Nexynt records natively, so nothing extra joins the call.

On the dashboard, paste the link, confirm you are authorised to record the meeting, and send the assistant. It appears in the call as a named participant with a visible recording notice - everyone can see it is there.

Admit it if the platform asks
Some meetings hold new participants in a lobby. If the status shows "Waiting for admission", the organiser admits the assistant like any other participant. On Zoom, the host approves recording when the assistant asks.
- STEP 04
Run the meeting normally
The status moves to Recording. The assistant is passive: it never speaks, never shares, and leaves when the meeting ends or when you stop it from the dashboard.

Review the finished recording
After the call, the capture processes like any upload: recap, transcript, deep dive, and findings, with speakers named from the meeting participants. You are notified when it is ready.

Recording people is a responsibility. The design assumes it.
- Visible by design
The assistant joins as a clearly named participant with a recording notice. Nothing is captured covertly, and participants can see it for the whole call.
- You confirm authorisation
Sending the assistant asks you to confirm you are authorised to record. Recording obligations vary by jurisdiction and participants; treat consent as part of running the meeting.
- You stay in control
Stop the assistant at any time from the dashboard. Deleting the recording afterwards removes the media and everything derived from it.
The four states you might see, and the fix for each.
- It says "Waiting for admission"
The meeting is holding it in a lobby. The organiser admits it from the participant list; if nobody admits it before the platform gives up, the capture is marked failed and you can retry.
- The capture failed
Most failures are the assistant not being admitted, or the meeting ending before capture began. The session history keeps a "Try assistant again" button, and uploading the meeting tool's own recording afterwards always works.
- It says capture slots are busy
Captures run a limited number at a time on your plan. Extra requests queue and start automatically as slots free - there is nothing to do but wait for the join.
- The link is not accepted
Only links for the platforms listed above can be captured. For anything else, record with the meeting tool's own recorder and upload the file.
The universal fallback: every platform can record its own meetings, and uploading that file produces exactly the same evidence. A missed capture never means a lost meeting.

- Paid plans. Pro includes 300 assistant minutes a month, Team 600, and Business and Enterprise have no monthly cap. The free plan analyses uploads instead - the output is identical.
- Calendar auto-join is in closed beta and opens up gradually. Today the reliable path is Join Now: paste the link when the meeting starts. Everything downstream - recap, findings, Q&A - is the same either way.
- Yes. The assistant is a visible, named participant with a recording notice. It cannot be hidden, and that is deliberate.
- For assistant captures, speakers are matched to the meeting participants, so the transcript says who spoke by name. On Webex, per-speaker labels are still rolling out; the transcript itself is complete. You can also tag or correct any speaker on the recording page.
- The assistant stays until the meeting ends or you stop it. The capture then processes as one recording and counts toward your monthly assistant minutes.
- Plans include a number of simultaneous captures, growing with the tier. Requests beyond that queue and start automatically as slots free - nothing is dropped.
